HACCP Software for Kombucha Producers: A Production Record Checklist

The right HACCP software for a kombucha producer should fit the way batches move through preparation, fermentation, flavoring and packaging. Begin with your approved process and required evidence, then test whether the software keeps those records connected. A generic daily checklist may leave important batch relationships unclear.

Map your kombucha workflow before configuring checks

Draw the actual production path for one product. Identify where you create a batch ID, where a batch splits or combines and where packaging creates a finished lot. Include culture references and flavor ingredients where your procedure requires them. Record the relationships rather than assuming a fermentation vessel is always the same thing as a finished batch.

StageRecord relationships to evaluate
PreparationRecipe version, ingredient lots, issued quantities and equipment reference
FermentationBatch or vessel ID, observations, sampling references and operator
Flavoring or blendingParent batch IDs, additions, new lot relationships and quantities
PackagingSource batch, finished lot, packaging run and output quantity
ReviewRequired checks, exceptions, supporting results and product decision

Use the table to organize your own records. It does not identify your critical control points or set processing limits. The responsible food safety team should define the approved instructions, measurements, methods and responses.

Keep measurements connected to the right batch

For each scheduled check, decide what the operator records: the actual observation or value, its units, time, identity and relevant method or instrument reference. If a result arrives from a laboratory later, define how that result joins the original batch and who reviews it. A file attached to the wrong run can look complete while explaining the wrong product.

Alcohol considerations are especially important to evaluate for US kombucha operations. TTB’s kombucha guidance explains that reaching 0.5% alcohol by volume or more at any time during production triggers its regulation, and that continued fermentation after bottling can increase alcohol content. Determine the applicable requirements and your control approach with appropriate expertise; a software entry does not establish product classification or process validity.

Test whether your configuration distinguishes a required result that is still pending from a reviewed result. Do not let a blank field or an uploaded filename stand in for an assessment that has not happened.

A fictional pilot scenario for a flavored kombucha run

Create DEMO-FERMENT-1, then split it into two fictional flavoring batches. One receives ingredient lot DEMO-FRUIT-1; the other receives DEMO-FRUIT-2. Assign distinct finished lots at packaging. This example demonstrates record links, not a production recipe.

  • Retrieve a packaged lot and follow it back to the fermentation record and flavor ingredient.
  • Start from DEMO-FRUIT-1 and identify only the linked finished lot in this exercise.
  • Add a pending check or result to one batch and inspect how the configured review workflow displays it.
  • Record a fictional deviation and confirm that its affected-product scope is visible to the reviewer.
  • Export the records and verify that the parent-batch relationships remain understandable.

If blending, repeated culture use or rework matters to your operation, include that in a second scenario. Ask the vendor to demonstrate your relationship model rather than accepting a simple one-input, one-output example as sufficient. See the ingredient lot traceability exercise for quantity and outbound-record checks.

Compare software against the same production scenario

HACCPEasy’s offering focuses on configured food-production workflows, ingredient-lot links and batch records. Test the current product against your approved workflow and document any manual steps. If you need food safety plan generation, broad monitoring or other functions, compare those needs explicitly rather than assuming every HACCP product serves the same purpose.

The FoodDocs comparison addresses package and capability differences. The FoodReady comparison separates software needs from consulting scope. Use the same fictional kombucha run in each trial so you can compare evidence and implementation effort fairly.

Check user allowances, site requirements, training, record exports and support against your team. Record a feature as unconfirmed when you have not observed it; public documentation alone is not a successful workflow test.

Use jurisdiction guides alongside the production checklist

Production records are one part of running a kombucha business. HACCPEasy also has location-focused guides, including New York kombucha and Texas kombucha. Use them to organize questions, then confirm current requirements with the responsible authorities for your facility, product and sales channels.

For the record design itself, read the batch record checklist. Before moving an approved paper process, use the paper-to-digital migration guide to plan a controlled pilot and preserve the archive.
